Registration Deadline

Q:  What do I do first?

A:  Read the information on the Program Details section of the Web site. Review the instruction guide and then check the Participants List to see if your school/site is already registered. If it is, check to see who is the current Event Organizer and let him/her know that you’d like to participate. If it isn’t, go to the Register Now section to sign up.

Q:  Is there a deadline to register?

A:  Walden Media asks that you register online reflecting the number of participating students by 11am (EST), Wednesday, December 13, 2006, so that any outstanding issues can be addressed in a timely manner. In addition, the number of participating students will be submitted to Guinness World Records™ and included in press materials announcing the record-breaking attempt.

Q:  Is it possible to register on the day of the event, rather than before?

A:  Yes. A school/site that has not already registered can do so on the day of the event, provided that the school/site can meet the guidelines to carry out the record attempt and its certification. Event registration resources are available online at www.walden.com and include an event checklist, the reading material, witness statements and a certification checklist.

Participants

Q:  How will Walden Media measure the actual number of participants for the December 13th event?

A: Walden Media will measure the actual number of schools and students participating using:

  • information that is submitted on the registration Web site
  • information gathered via the certification document that was returned to Walden Media—a requirement for the participating schools/sites.

Q: How do I find out if my school/site is registered?

A: To find out if your school/site is registered, please go to the Participants List. The list is automatically updated when a school/site is registered. Additionally, this feature will allow you to see who the organizer is for that location, and by clicking on his/her name, you can e-mail him/her.

Event Staff

Q:  What staff will be needed to carry out and certify this event?

A: Each registered school/site will need the following staff for the "Break a World Reading Record with Charlotte’s Web" Event:

  • Event Organizer
  • Registration Witnesses (one (1) for every fifteen to twenty (15–20) students)
  • Independent Witness (two (2) independent witnesses for each institution)
  • Lead Reader
  • Photographer(s)
  • Videographer(s) (optional)
  • Publicists (optional)

Q:  Who can be an Event Organizer?

A: A staff member of the school/site can serve as the organizer for the event. This person is responsible for overseeing the event and carrying out the guidelines required by Guinness World Records™ for certification. This person cannot serve in any other capacity. In other words, the organizer cannot serve as a Witness or the Lead Reader. The Event Organizer is responsible for the following:

  • Registering the school/site
  • Securing the required event staff and briefing them on their duties and responsibilities necessary to carry out the record attempt and its certification
  • Updating their online password-protected account as needed
  • Downloading the required documents for event staff and participants to sign on the day of the event
  • Compiling the certification package with all of the required record attempt supporting materials, including:
    • sign-in sheets
    • witness statements
    • pictures
    • video footage
    • media coverage
    • signed agreement

Q:  How many witnesses are required?

A: On the day of your record attempt, there must be at least one Registration Witness as described below for every fifteen to twenty (15–20) participants involved, to ensure that everyone is participating in accordance with Guinness World Records™ guidelines. The current guideline of fifteen to twenty (15–20) participants is based on how many people can be monitored by an individual at one time. In addition to these witnesses, you will also need two (2) "Independent" Witnesses for each school/site. These "independent" witnesses as defined below cannot have a vested interest in the successful outcome of the attempt. So, if you have twenty (20) students reading together, you will need one (1) witness in that room, plus two (2) independent witnesses. If you have one hundred (100) students reading together, you will need five (5) witnesses in that room, plus two (2) independent witnesses, and so forth.

Q:  Who qualifies to be a Registration Witness?

A: The following people can be considered as Registration Witnesses:

  • Principals
  • Teachers
  • Assistant/Vice Principals
  • District Administrators
  • School Board Members
  • Superintendents
  • Assistant Superintendents
  • Department of Education Commissioners and Chancellors
  • Department of Education Employees
  • Paraprofessionals, including teachers’ assistants and aides, Cafeteria/Custodial Staff, School Administrators, Guidance Counselors and Reading Coaches

Q:  Who qualifies as an Independent Witness?

A: The following people can be considered as Independent Witnesses:

  • Local, state and federal elected officials
  • Appointed local, state and federal officials
  • Members of law enforcement or emergency response teams, including school resource officers, police officers, paramedics, firefighters, etc.
  • Judges
  • Doctors
  • Newspaper editors
  • TV personalities/celebrities
  • Business leaders

School board members, parents, superintendents, department of education employees, education commissioners or chancellors are NOT eligible to be Independent Witnesses.

Q:  What is the Independent Witness Statement?

A: The Independent Witness Statement is a statement that confirms (with detail where necessary) that you abided by the guidelines. Each statement must make clear exactly when the particular witness was "on duty" (i.e.: 12 noon EST on 12/13/06). Witness statements may not take the form of pre-printed statements that are simply signed by the witness. Each statement must be compiled by the individual witness (on headed notepaper/letterhead where possible) and include the witness’ signature and full contact information (including name, address, telephone number and/or e-mail address). Q:  Can PTA or PTO members serve as witnesses?

A: No, parents are not able to serve as witnesses. They can, however, serve as Lead readers, Photographers or Videographers.

Q:  Does each classroom/location within the school need two independent witnesses in addition to the witness for every 15–20 students?

A: Regardless of whether you have your participants divided up among their classrooms, media center, gymnasium, cafeteria or other location, you are only required to have two independent witnesses for the site, not at each location within the facility. The two independent witnesses are certifying that the record attempt was carried out in accordance to rules and guidelines. This does not eliminate the fact that you are still required to have one regular witness for every 15–20 students who oversees the sign-in sheets and handing out of the reading passage.

Q:  Can retired individuals of the professions that are listed above still qualify to serve as Independent Witnesses?

A: Yes, a retired individual qualifies as an Independent Witness as long as his/her profession is one from the above list.

Q:  What are the duties and responsibilities of the witnesses?

A: The witness’ role is to ensure that everyone is participating in accordance with the guidelines. The respective witness statement from each witness shall confirm the exact number of students at that site.

Q:  Who can be a Photographer?

A: Photographs/pictures do NOT have to be done by a professional. We recommend that you ask parents or other staff members to take pictures. Photographs may be submitted in the following formats:

  • CD-ROM (taken at 300 dpi in a 15 cm x 15 cm size)
  • DVD (taken at 300 dpi in a 15 cm x 15 cm size)
  • Traditional Photographic Print (Printouts of digital images are only acceptable if the photograph is also provided in digital format)

Q:  How many photos should I submit?

A: There is no set number of photographs to submit. Try to include a wide variety of shots of the participants during the event from various angles, as well as at different stages of the event.

Q:  What information should I include with any photographs I submit?

A: Where possible, tell us who the person is in the picture. The record claim number (175823) and participant’s location should be listed on each picture as well.

Q:  Who can be a Videographer?

A: Video footage is not required and does NOT have to be done by a professional. We recommend that you use parents or the other staff. You do not need to have a professional video camera. Try to include a wide variety of shots of the participants at the location during the event. This might include shots taken from various angles and positions, and at different stages of the record attempt. Video footage of the record attempt should be in one of the following formats:

  • VHS (PAL or NTSC)
  • DVD
  • CD-ROM
  • DV
  • Mini DV

Q:  Do I need a photo or video release?

A: Yes. Please be sure to print a copy of the Agreement Regarding Supporting Materials—a six (6) page agreement supplied by Guinness World Records™. This MUST be signed and returned with your certification package and supporting materials.

Q:  Who can be a Lead Reader?

A: The Lead Reader can be any staff person, PTA/PTO member, volunteer or dignitary.

Q:  What are the duties and responsibilities of the Lead Reader?

A: The Lead Reader is the person responsible for leading the synchronized read-aloud with the participants at his/her respective site. They are to read the approved reading passage scheduled for 12 noon EST and in accordance with the official time clock, which can be accessed at www.walden.com.

Q:  What are the duties of the Publicist?

A: The Publicist works with the Event Organizer to help build excitement within the school or organization to encourage participation in the event. The Publicist also works with local newspapers and radio and television stations to promote the event to the local community.

Planning the Event

Q:  How do I obtain the reading material/literature?

A: You can download the online version of the excerpt that has been authorized for the record attempt, or purchase the book.

The excerpt that is being used is from Chapter Five. The excerpt begins on page thirty-five (35) with “Salutations!‘ said the voice,” and ends with “I think you’re beautiful,’ said Wilbur” on page thirty-seven (37).

Q:  Is there an official time clock that I should use for this event?

A:  There will be an official time clock on the Walden Media Web site that can be accessed at www.walden.com.

Q:  What kinds of activities can be done to maximize the enjoyment of this event?

A: Organizers can view some suggested tips and ideas in the Create Your Own Event site that includes a Charlotte’s Web Event Guide and reproducible coloring and activity sheets.

Q:  What can be done to promote this event?

A: You can circulate and post flyers to build awareness within your school/site. Contact local media outlets to promote the event leading up to December 13th and to report on it once it is complete. Invite parents, and community and business leaders to participate in the day-of-event activities and to serve as Witnesses, Readers and Photographers, as appropriate.

Certification

Q:  What materials do I have to submit to Walden Media after the attempt?

A: The following documents must be submitted after the record attempt:

  • Cover letter
  • Independent Witness Statements
  • Photographs, including digital format
  • Video footage
  • Media coverage
  • Sign-in sheets with Witness Registration Information
  • Signed agreement regarding supporting materials

Q:  What is the deadline to submit the certification package to Walden Media?

A: All of the certification materials MUST be postmarked by Wednesday, January 3, 2007.

Q:  What language must all claim documentation be submitted in?

A: All certification documents MUST be submitted in English. Please remember that if your original claim documents are in any other language, they MUST be translated into English and should be certified by a notary.

Q:  Should we send any or all of our materials to Guinness World Records™ directly?

A: No. All record attempt materials MUST be submitted to Walden Media. Otherwise, the claim for your students will not be processed. All of the participating schools’/sites’ information must be sent in one master package by the lead organizer, Eileen Hughes at Walden Media, to Guinness World Records™.

Q:  Where should the complete certification package be sent to?

A: After the record attempt, all schools/sites should submit their certification materials to:

Q:  What is in the cover letter and where can I find it?

A: This pre-printed form is available as a downloadable document. The cover letter, which should be on the institution’s letterhead, should reflect the names of each event staff person and his or her role. The cover letter advises Walden Media of what supporting materials for the institution‘s record attempt are attached. You can view a sample Independent Witness Statement and the Witness Registration Form on this site. It is available in a downloadable format and should be used as a reference for the respective witnesses so that they may create their own.

Q:  Can the Independent Witness Statements be pre-written?

A: You can cut and paste the information from the Independent Witness statements onto the witness’ letterhead, but the blank areas must be filled in by witness on the day of the event. Additionally, you should exclude the word "SAMPLE" when cutting and pasting this information.

Q:  What if our location received media coverage or independent corroboration in the form of media coverage?

A: If your location received media coverage from local or national newspapers, magazines or television or radio news reports, we ask that you please submit that to the organizer of the registered institution so that he or she can properly document it and include it in the site’s certification package. The record attempt claim number (175823) should be listed.

Q:  What is in the sign-in sheet and where can I get a sample?

A: A head count of all participating students MUST be taken prior to the record attempt on December 13, 2006. Each participant must sign and print his or her name, witnessed by two persons. No ditto marks are accepted. An example of the sign-in sheet is part of this kit, and can also be downloaded at www.walden.com. The executed document is considered supporting materials and MUST be returned with your certification packet after the record attempt.

Q:  Can the sign-in sheets be pre-filled?

A: With the exception of the participants’ actual signatures, all of the information on the sign-in sheets can be filled out ahead of time. Just remember that this will obviously not take into account any participants who do not participate on the day of the event because they did show up.

Q:  Will the record be published in the Guinness World Records™ book?

A: Unfortunately, due to the very large number of records that Guinness World Records™ maintains in their database and the limited amount of space in their book, they are unable to guarantee that any record will appear in the book. However, exciting records that are supported by good quality photographs have a better than average chance of appearing.

Q:  Will I get my materials back?

A: No. Due to the large volume of materials that Guinness World Records™ receives, it is not possible for them to return items that are submitted.

Q:  Does an official from Guinness World Records™ or Walden Media need to attend my record attempt?

A: No. The proof requirements listed above are intended to provide the Walden Media team, and ultimately Guinness World Records™, with enough evidence to evaluate the record claim from our respective offices.

Q:  What happens once the record is approved?

A: You will be sent a certificate from Walden Media in recognition of your school’s participation in breaking a world record and the event will be added to the Guinness World Records™. Again, please note that Guinness World Records™ cannot guarantee that the record will appear in their book.

Q:  Do I receive payment for achieving a world record?

A: No.

Q:  Can I use the Guinness World Records™ logo and/or brand name on my products, letterhead, publicity material, etc.?

A: No, not without express permission from Guinness World Records™. Please note that Walden Media is publicizing the record attempt as: Break a World Reading Record with Charlotte’s Web.

Q:  Why must all my claim documentation be submitted in English?

A: Guinness World Records™ receives claims from all over the world. It is simply not possible for them to have every piece of documentation translated into English themselves, or to have researchers who speak every language.
